Entry Questions


Were my entries received?
This is the most common question we are asked. The simple answer is once you have submitted your entries and received a receipt number, your entries are confirmed as received and your receipt page is proof of receipt. We also provide a facility for you to do an on-line check of entries submitted by you. Just click on "Verify Entries" from the menu above and where requested you can verify payments you have made or verify entries submitted (you will need to register and use your password to verify entries). Please do not contact OZentries separately for verification without first following this process.

How can I prove I have entered on-line?
On completion of your entries and payment we provide a summary page showing all exhibits entered, the claqss entered and at which shows. You should print this page as proof of your entries. A summary email receipt is also forwarded to the email address entered on the exhibitor and payment page.

Can I view my entries after I have entered?
The "Verify Entries" page accessed from the main OZentries menu will allow exhibitors to do the following using the email address that they used when entering on-line:
1) Verify Payment (no password required) - this allows exhibitors to quickly determine if a payment has been received by OZentries.
2) Verify Entries - this is a password protected facility provided to determine which shows, exhibits and classes an exhibitor has entered within the last 60 days.
3) Register - this enables exhibitors to register for their own password to allow them to use the "Verify Entries" service. All passwords are returned to the exhibitor's email address.

Can I change my entries after they have been submitted?
Once on-line entries have been submitted you can only change an exhibit's class, name (e.g. add a title) or owner details through OZentries, and this must be submitted prior to the advertised closing date of the show. To do this you will need to go to the "Entry Changes" page accessed from the main OZentries menu and submit a request on the form provided. Any other changes, additions, cancellations or withdrawals, etc., must be done in the normal way through the show secretary.

Are there any restrictions on shows using OZentries?
We do not palce any restriction on shows wishing to use our service - we encourage shows all over Australia to use the service. We do ask that each show prominently displays our "on-line entries available" logo on their published show schedule to advertise to exhibitors that the show is taking on-line entries.

Entry Form Questions


What details do I need to enter my dog at a show?
You need to enter on-line all the same details that you would normally have entered on to a paper entry form. Our entry program validates that all required details are entered and as far as possible that the details entered are in the correct format.

What happens if I select a class not being held at one of my selected shows?
Where a selected class is not offered at a show that entry will not be accepted e.g. you have selected a sweepstakes class at two shows and sweepstakes are only held at one of the shows, and in this case only one sweepstakes entry is accepted and displayed.

Can I accidently enter a show twice (or more)?
If you attempt to enter the same exhibit in the same class at the same show where you have previously entered, that entry will not be accepted and you will receive a message advising you of this at the tiem of attempting the duplicate entry. However if a duplicate is submitted in a different class then that entry will be accepted but a warning will be displayed in the "exhibits entered" list advising you of the existing class or classes entered (you can then delete this entry if needed).

What happens if my dog is too old for a selected age class?
If an entry is attempted for an ineligible age class i.e. where your exhibit's age (as calculated from the date of birth) is outside the limits for a selected class at the date of the show, that entry will not be accepted and you will receive a message advising you of this.

OZentries Pre-fill Questions


How does the OZentries pre-fill process work?
If you have used OZentries to enter on-line previously then your entry details will be stored in our database. There are three "pre-fill" areas that are provided by OZentries to help simplify the on-line entry process. These are explained in the below FAQ areas.

Exhibitor Pre-fill List?
The exhibitor pre-fill list is where you can enter your membership number, click "List" and a list of all exhibits that have previously been entered on-line for that membership number is displayed. Once this list is displayed you can select an exhibit and then either click "Go" to pre-fill details on the entry form or "Remove" if you do not want that exhibit to display on your list in the future. If you want to add a new dog to your list then all you need to do is enter that exhibit in any show with your membership number in the exhibit/owner details section of the form. On submission of that entry a new record will be made in our database adding that exhibit to your list for next time. If that exhibit was previously attached to another exhibitor's list then they will need to follow the "Remove" process as described above to remove it from displaying on their list.

Note: You should be aware that this exhibitor pre-fill list facility is an OZentries provided tool to assist when entering dogs at shows. It is compiled from records produced by previous on-line entries and is not a record of dog ownership details held by any of the State Canine Control bodies.

Exhibit Pre-fill?
If you have used OZentries to enter on-line previously then your exhibit's details will be stored in our database. When you click on "Go" your exhibit's details are retrieved and pre-filled on the entry form. Any of those details can then be changed (e.g. add Ch to the exhibit name or change owner etc.) and that change will be held in our database for future on-line entries. Likewise if this is the first on-line entry for that exhibit no details will be held so you will need to fill out all form fields this time, but details will be held for future on-line entries.

Exhibitor Pre-fill?
The exhibitor pre-fill feature is part of the exhibitor and payment form (i.e. after confirmation of all entries) and eliminates the need to enter membership and address details every time you enter on-line. If all confirmed entries have the same owner/lessee member number then the "Exhibitor Membership No" field will be pre-filled with that number, otherwise you will need to enter your State Controlling Body membership number here. Click "Go" to pre-fill held membership details, and if none are held then all details must be filled in on the form, but they will be recorded for future on-line entries. Any held details can be changed by simply over-typing the necessary fields, and these changes will also be recorded for future on-line entries.

Payment & Security Questions


How is payment made for my entries?
Payment for on-line entries can only be made by credit card - Visa or Mastercard only. All credit card payments are processed immediately via our on-line banking gateway and exhibitors will be advised straight away if details have been entered incorrectly or payment has failed for any reason.

Can I change my payment amount?
No. The payment amount is calculated by our entry form program (inclusive of fees and charges) and cannot be changed. As each show has a different entry fee structure, the automated calculation of all fees payable ensures that the correct payment is made each time you use the service.

Are my credit card details safe?
Our SSL secure server provides 128 bit encryption to ensure protection of your credit card details. When moving from the entry form pages to the exhibitor and payment detail pages you may receive a message advising that you are about to view pages over a secure connection. Please accept this message and proceed confidently knowing that your data is being protected. Alternatively (and as well) you should also see a "secure lock" in the bottom status bar of your browser window. Please note that we do not store any credit card details.

What data security and audit trail is provided with online entries?
OZentries have implemented levels of security and audit trails that comply with all regulations and banking standards that are imposed on any on-line business.

All exhibit and exhibitor data collected is stored in our databases and access is segmented by shows. Show data is only provided with secure password access to the show secretary of that show. Payment and credit card information is collected and passed to our on-line banking gateway using 128 bit SSL encryption. Our banking gateway immediately processes the payment and returns a success or fail message that is displayed to the exhibitor. We NEVER store any payment to information in our database so your credit card details are completely protected.

Audit Trail – our database and banking statements all record the date and time that any transaction is processed along with a unique receipt number and other exhibitor and exhibit information. This information can be retrieved in the event of an issue or dispute.

Technical Questions


What Web Browsers can I use?
On-line entries has been developed to work with virtually all web browsers, and has been tested using the latest versions of the most common web browsers being Internet Explorer, Mozilla Firefox, Opera and Safari. However each of these browsers have settings that must be enabled for on-line entries to work correctly, and these settings are usually the default settings used when the browser is installed. Additionally there are known security issues surrounding the use of older versions of some web browsers, therefore if you do not use the latest version of your favourite web browser, we recommend that you upgrade to the latest version to provide the best level of security for your on-line entries transaction.

Do I need to enable Javascript?
The program that validates the data enterd to the on-line entry form uses javascript which is one of the most popular "client side" web scripting languages. While most web browsers are pre-configured to allow javascript (particularly later versions) there may be some cases where this has been excluded from your web browser. Consequently you will have problems with the on-line entry process. If this is the case you must go to Tools >>> Internet Options >>> Security and also Tools >>> Internet Options >>> Advanced (Internet Explorer) and ensure that all references to java and javascript are enabled.

Will pop-up and ad blockers affect my on-line entries?
For security and validation reasons the on-line entry form is presented to exhibitors in a pop-up window. In some cases this may conflict with how you have set up your browser settings or 3rd party software for ad and pop-up blocking. You should be able to adjust your settings so that unwanted and unrequested pop-ups are killed but requested ones (i.e. the on-line entry form) remain unaffected. Your "systray" in the bottom right corner of your screen will usually display an icon for any 3rd party software running for this purpose.

Will my Firewall settings cause problems?
If you use a firewall (either through Windows XP or Vista or 3rd party software), it may in some cases be set to disable pop-ups. This should be checked to ensure it is not set to disable requested pop-ups. You should also ensure that ozentries.com or ozentries.com.au has not been accidently added to any banned sites list.

Will my anti-virus software cause problems?
If you use anti-virus software (as you should) or any other security software, check the settings to ensure that nothing legitimate as described in these FAQ's is being blocked.

Exhibitor Experience


How will the online entry process improve the exhibitor experience?
Perhaps the most important commodity for many in this day and age is time. Enter your dog's registration number, select your show(s) and class and click update, then repeat for additional dogs and shows. Then on the exhibitor page enter your own controlling body membership number and payment details and all is finished. Three dogs entered at 4 different shows in 2-3 minutes elapsed time - what could be easier.

Compare this to completing paper entry forms, calculating entry fees, writing cheques and self-addressed envelopes, puting everything in envelopes without getting them mixed up, seal and stamp and then a trip to the post box. Save up to an hour every time you enter shows. Validation and error messages on the on-line entry form means exhibitors always provide accurate data.

Each time an exhibitor enters on-line they are provided with an on-screen summary and an email of all shows and exhibits entered along with a unique receipt number. OZentries also provides an on-line "verify entries" process where exhibitors can login at any time to check all on-line entries made - no more forgetting if you entered as show, and who with.

On-line entries may eliminate the need for costly cheque accounts. Many exhibitors only maintain cheque facilities because of dog shows, if only all shows accepted on-line entries. Many exhibitors now refuse to enter paper only entry shows, preferring the ease of on-line entries. Perhaps we are not there yet, except for NSW and ACT exhibitors, but the day will come - Vic, Qld, SA and WA and all moving towards on-line entries now!!

I only enter on-line shows - how many time have I heard that. Maybe this can soon become a reality!!

Can OZentries help me reduce the time and effort required to enter and get the data right?
With any paper based application form, people can easily enter incorrect information. What is time consuming is that when the paper-based application form is submitted, someone has to check and validate the information and manually record the details for catalogue preparation.

By using features such as mandatory fields, error messages and business rule validation in an online form, OZentries ensure that correct data is entered by the exhibitor. In addition, the on-line form is intelligently built, so that incorrect classes and duplicate entries cannot be submitted.

The multitude of dog clubs that choose OZentries for on-line entries do so because they acknowledged the reduced administration effort and increased entry numbers for their shows.

Does OZentries provide a stream-lined process by "remembering" any of my exhibit’s repetitive data?
Yes – Ozentries has streamlined the data collection process in a number of different areas:
  • If you have used the service before all you need to do is enter your exhibit’s registration number and all of that dog’s details are recalled from our comprehensive database and pre-filled on the entry form. All you need to do is choose the show and class required. Of course if any details have changed (e.g. Ch title, ownership etc.) since last use you can just over-type those details and they will be used for the show currently being entered and remembered for use next time.
  • On the exhibitor form we provide the exact same service for member details. Just enter your State Canine Control member number and your details will be recalled and pre-filled on the form. Again any changes can be advised and will be remembered for next time. We do NOT store any payment and credit card details as these must be entered each time.
  • OZentries have designed the on-line entry process so that in some cases you can enter one exhibit at a number of different shows by making a single entry submission. This makes a very streamlined process when entering multiple shows.


What costs are involved in using OZentries on-line entry facilities?
Establishing and maintaining the technology to provide this service is costly, so we do pass on a small fee to exhibitors using the service, and these are automatically calculated and clearly displayed on the payment form. However many clubs are now realising the benefits to them in offering the service (e.g. time saving for show secretaries, increased entry numbers etc.) and some have started reducing entry fees where submitted on-line.

The total charges made by the on-line entry service to exhibitors are:
  1. Entry fees as stipulated on the show schedule
  2. Cost of any ordered catalogues
  3. Mailing fee for return post of exhibit numbers (set by the club, to cover postage and stationery costs)
  4. On-line processing fee to cover OZentries costs
  5. Credit card fees to cover our bank's charges to us
The fees charged in 1, 2 and 3 above are then paid to the club conducting the event, and those in 4 and 5 are retained by us to cover our costs. The actual fee amounts charged are explicitly displayed each time you enter on-line.

Goods and Services Tax (GST) is payable on the fee charged for using the online entries service provided by OZentries. OZentries does not charge GST on show entry fees, catalogue(s) or mailing charges as these are collected on behalf of clubs and affiliates, who are responsible for their own tax arrangements. The amount of GST payable is clearly displayed on the payment form and tax invoice.

While the benefit in time saving to the exhibitor is enormous, the fees charged by us are comparable to fees charged by other payment forms such as cheques and or postal orders. Many people say "but I don’t pay cheque fees" but the simple answer to this is that "we all pay these fees", some explicitly as charges per cheque, and some hidden e.g. reduced or no interest on cheque accounts.

For Show Secretaries


Without paper entry forms how can show secretaries effectively manage their entries?
OZentries provide a secure password protected club login area where all aspects of show administration can be undertaken in respect of on-line entries. All data normally available on a paper entry form is available, plus much more. Here show secretaries are also provided with a facility to close on-line entries for their shows. This can be done at a time to suit them and shows can be left open as long as required.

As well as full exhibitor and exhibit information, we also provide a financial progress section showing the total entry and all fees collected so far. Once a show is closed this becomes the settlement statement and can be printed for club records. Clubs must ensure that up to date banking details are held so that final settlement can be made by Electronic Funds Transfer.

OZentries provides simplified payment processing with all payments for entry, catalogue and mailing fees being made through our on-line banking gateway. OZentries credits club bank accounts when entries are closed with a single overall amount. No more banking of cheques or chasing up failed payments for club secretaries.

How do I get the data from the on-line entry form to the catalogue printing system?
OZentries customise the on-line entry form to accept and enforce a club’s show and class rules so that not only is mandatory information collected, but that the data is collected in the format required to be pushed into their own catalogue systems.

Because all the data that is being captured is being validated as it is entered, we know that the data is "clean". After download from the OZentries secure club login facility, the data can then be processed into the club’s catalogue system in whatever way the club chooses. This all depends on the internal procedures and processes of each club or affiliate conducting their shows.

How does online entries affect the total entry numbers for a show?
By being able to leave on-line entries open up to much closer to the actual show than is possible with paper based forms that go through the normal postal service, show secretaries all agree that there is a significant increase in entries attributable to “on-line” shows. In some cases this can be as much as a 25-30% increase in entry numbers. With the added revenue from entry fees clubs can afford to run better shows.

Conversley shows not using on-line entries are all reporting declining entry numbers, however the complete reverse is happening for shows where on-line entries are available.

What kind of data can be captured for a show?
The world's your oyster when it comes to online data capture. While it would be nice for all shows to offer normal class and entry fee structures, we do realise that some clubs (especially for breed specialty shows) desire to differ. While we do cater for these differences, the simpler approach is the one best understood by exhibitors.

Many shows also offer the facility to order and pay for lunches, dinners, catalogue advertising, camping and many other special items and these can be easily catered for by OZentries in addition to class entries and catalogues.

Who is OZentries?
OZentries Pty Ltd is a registered Australian company (ABN 48 147 621 298) and show entries can be accessed at both www.ozentries.com.au and www.ozentries.com. On-line dog show entries provided by OZentries have been successfully operating since 2004.

Who else is using OZentries besides dog shows?
